Media Policy

General Information

  • Official DDW press activities are open to media representatives only.
  • The DDW Newsroom will be open on Friday, May 17, from noon to 5 p.m. EST and Saturday, May 18, through Tuesday, May 21, from 7:30 a.m. to 5 p.m. EST.
  • DDW Administration is the designated agent to handle all media relations for DDW. Other newsrooms are not permitted.
  • DDW Administration does not share media lists from either current or previous meetings.
  • Follow the conversation online. Use the hashtag #DDW2024 when discussing news and activities occurring during the meeting.
  • With prior permission from DDW Administration, industry supporters are welcome to display materials in a designated industry area of the newsroom, which is separate from DDW Newsroom materials.

Press Registration Eligibility

Members of the working press are welcome at DDW. All scientific and poster sessions are open to reporters including plenary sessions, symposia, research and clinical fora. Access to ticketed sessions is on a space-available basis. Media registration is free.

Press registration is extended to:

  • Working journalists on assignment, including photojournalists, videographers, producers, podcasters who regularly cover meeting and health science news, web-based media, writers of the general health and medical press, and news staff from journals.
  • Working freelance journalists with health/science articles from the past two years.
  • Patient influencers, after review of social media channels and previous meeting coverage.

 Press registration is NOT extended to:

  • Non-news editorial staff of publications.
  • Advertising, marketing or publishing staff or administrative personnel.
  • Communications/public relations staff persons from (or representing) a for-profit company.
  • Organizations that primarily produce audio/video continuing education resources.
  • Individuals based on previous registration (must re-credential each year).
  • Industry supporters.

Embargo Policy

  • All information presented at DDW, including poster presentations, is embargoed until 12:01 a.m. EST on the day of the presentation, unless otherwise noted. 
  • Accepted abstracts are made available online to attendees in advance of DDW for itinerary planning purposes. The embargo policy applies to all abstract data regardless of the date of publication in DDW resources.
  • Curtain raiser press releases with presenters and titles are permitted, but findings and data may not be released until the embargo lifts.
  • Press materials must be clearly marked with the abstract number(s) and the embargo date and time, adhering to the DDW embargo policy.
  • All times are in Eastern Standard Time (UTC -5).
  • Use of the DDW logo on exhibitor press materials is prohibited.
  • Press materials on research presented at DDW must give attribution to DDW and its sponsoring societies with the following boilerplate:

Digestive Disease Week® (DDW) is the largest international gathering of physicians, researchers and academics in the fields of gastroenterology, hepatology, endoscopy and gastrointestinal surgery. Jointly sponsored by the American Association for the Study of Liver Diseases (AASLD), the American Gastroenterological Association (AGA), the American Society for Gastrointestinal Endoscopy (ASGE) and the Society for Surgery of the Alimentary Tract (SSAT), DDW is an in-person and online meeting from May 18-21, 2024. Session Access and Rules

  • All DDW scientific presentations are open to the media, with the exception of business, committee and administrative meetings, which are closed to the public.
  • Media are not permitted to photograph or publish DDW presenters’ slides unless permission has been acknowledged.
  • Media are not permitted to live stream or otherwise broadcast DDW sessions, Posters or in the Exhibit Hall.

Exhibit Hall

  • Members of the press who are registered with the DDW Newsroom and wearing their press badges are welcome in the Exhibit Hall.
  • DDW Administration must accompany all camera crews wishing to tape in the Exhibit Hall. Crews can arrange for an escort in the DDW Newsroom.

Industry Supporter Media Policies: General Information

  • The DDW Newsroom is only open to the working press. 
  • All industry supporters and their third party partners are expected to comply with all rules and regulations set forth by DDW Administration. 
  • DDW Administration is the designated agent to handle all media relations for DDW. No other newsrooms are permitted.
  • DDW Administration will not share lists of media registered for DDW nor lists of media who have attended in previous years.
  • Use Twitter hashtag #DDW2024 to post pertinent news and activities for the event across social media.
  • Industry supporters and public relations professionals are not permitted in the newsroom.

Industry Supporter Materials Distributed in the DDW Newsroom

Registered industry supporters may display press materials in the designated “Exhibitor News” area of the DDW Newsroom. Display materials must follow the following guidelines:

  • Industry supporter press materials must focus on research presented as part of the DDW program.
  • Industry supporter press materials must include the official DDW abstract number, as well as the date and time of data presentation.
  • Prior to display in the DDW Newsroom, all industry supporter materials must be reviewed and approved by DDW Newsroom staff.
  • Materials must be submitted by close of business on Monday, May 9, 2022; edits and/or approval will be provided via email by Monday, May 16, 2022. Materials not submitted by the May 9 deadline must be reviewed on site as time allows. On-site review is not guaranteed. Electronic copy of materials can be emailed to the DDW Newsroom.
  • Industry supporters should deliver 25 copies of approved press materials to the DDW Newsroom. All unused materials will be discarded unless claimed by 5 p.m. on the last day of the show.

Industry Supporter Press Conference Outside of Convention Center

  • Press conferences held during DDW by industry supporters and groups outside of officially sanctioned DDW press conferences are referred to as “outside press conferences.” These events may not be held during a time that conflicts with any official DDW press conferences.
  • Outside press conferences may not be promoted to press via the DDW Newsroom or industry supporter news area.
  • Groups planning to hold outside press conferences must inform the DDW Newsroom of their plans.
  • To secure space for an outside press conference, first inform DDW Administration via email. Second, submit a meeting space request form.
